Assistant Manager/ Dy. Manager Stores

QUALIFICATION:

  • D. Pharma / B. Pharma
  • Masters degree in management / materials management will be an added advantage

EXPERIENCE:

  • 5 – 7 years
  • Hospital Experience Preferred

JOB RESPONSIBILITIES:

Inventory & Stock Management

  • Ensure optimum inventory levels across all categories (medical, surgical, consumables, general items)
  • Monitor stock movement, consumption patterns, and reorder levels
  • Prevent stock-outs as well as overstocking/expiry risks
  • Oversee inward, storage, and outward of materials in line with defined processes

Stores Operations

  • Supervise day-to-day functioning of central stores and sub-stores (wards, OT, pharmacy interface, etc.)
  • Ensure proper material handling, storage practices, and housekeeping standards
  • Maintain batch-wise, expiry-wise tracking of critical items
  • Ensure timely issue of materials to user departments

Data Accuracy & Systems

  • Ensure 100% accuracy of stock in the system vs physical stock
  • Drive system discipline in ERP/Inventory modules
  • Generate and present MIS reports, dashboards, and consumption analysis
  • Work towards digitalisation and process improvements in stores management

Audits & Compliance

  • Plan and execute periodic stock audits (monthly, quarterly, annual)
  • Coordinate with internal and external auditors
  • Identify discrepancies and ensure timely reconciliation and closure
  • Ensure compliance with hospital policies, statutory requirements, and quality standards (e.g., NABH)

Coordination with Purchase & Finance

  • Work closely with the Purchase team for indents, GRNs, and vendor coordination
  • Validate purchase requirements based on consumption trends
  • Ensure proper documentation and coordination for billing and payments
  • Support cost control initiatives through data and analysis

Team Management

  • Lead and supervise stores staff across shifts
  • Allocate responsibilities and ensure accountability
  • Train team members on processes, systems, and compliance requirements
  • Build a disciplined and responsive team culture

Process Improvement & Controls

  • Identify gaps in existing systems and processes and implement corrective measures in consultation with GM – Operations
  • Strengthen internal controls to prevent pilferage, misuse, or leakage
  • Standardise SOPs and ensure adherence across all stores functions in consultation with GM – Operations

Stakeholder Management

  • Coordinate with clinical, nursing, and support departments to ensure smooth material flow
  • Address queries and concerns related to stock availability and usage
  • Support operational requirements during emergencies or peak load situations
  • Any other work/responsibility assigned by the HOD/Management in the course of business/work whether within the same unit/dept or any other unit/dept from time to time
