Assistant Manager – HR

QUALIFICATION:

  • B.Com/ BBA/ M.B.A – HR / PGDHM
  • Proficient in MS-Office

EXPERIENCE:

  • 4 – 6 years
  • Hospital experience preferably in a multi-specialty healthcare set-up
  • Strong knowledge of HR processes, compliance and documentation
  • Experience of handling large workforce categories

 

JOB RESPONSIBILITIES:

Manpower Planning & Recruitment:

  • Coordinate with HODs to understand manpower requirements and prepare annual/quarterly manpower plans
  • Manage the full recruitment cycle: sourcing, screening, interviewing, shortlisting, salary negotiation, and offer issuance.
  • Maintain a strong pipeline of candidates for clinical, non-clinical, and support functions.
  • Track recruitment metrics: TAT, source effectiveness, vacancy tracking, etc.
  • Updating all job descriptions as and when required with approval of respective HODs
  • Regularly preparing and sending the list of newly joined employees to the bank personnel to ensure bank accounts are opened on time
  • Ensuring Pre-employment Health checks are done and relevant medical fitness is obtained

Employee Background Verification:

  • Ensuring sending emails to the previous employer of new joinee for background verification and ensuring that a response is received for the same
  • Sending the verified BGC to the IR department for filing in employee personal files
  • Preparing & Maintaining employee verification tracker

Onboarding, Induction & Orientation:

  • Oversee pre-joining documentation and background verification.
  • Plan and conduct structured induction and orientation programmes for new employees in coordination with the HR and L&D team
  • Collect 30 – 90 days feedback for all new joinees and track early employee engagement and reasons for exits, if any

Performance Appraisal (PA):

  • Facilitate the annual performance appraisal cycles for scale and consolidated employees as per PA policy
  • Guide departments on competency mapping and adhering to appraisal timelines
  • Track the submission status of the appraisals and generate reports; where needed act as a moderator for discussions between the appraiser and the appraisee
  • Conducting post appraisal feedback and develop corrective actions for poor performers along with their HOD following the set process
  • Support the Head HR in analyzing performance data and identifying training needs

Employee Engagement and Employee Connect Activities:

  • Plan, coordinate, and execute monthly/quarterly engagement activities for all staff groups.
  • Conduct employee connect sessions in departments to identify concerns, grievances, and improvement areas.
  • Support internal communication initiatives and promote a positive workplace culture.

Apprenticeship Management:

  • Coordinate with the Board of Apprenticeship Training (WR) for apprenticeship related queries.
  • Ensure hiring of apprentices in the diploma and graduate categories for technical fields based on the sanctioned quota
  • Manage contracts, documentation, attendance, departmental rotations, stipends, and evaluations on a monthly basis
  • Issuing of Certificate of Completion to the apprentices on successful completion of the apprenticeship period.

Hostel & Accommodation Management:

  • Oversee hostel allotment, occupancy, rules, discipline, and maintenance coordination with the wardens.
  • Maintain updated records of resident doctors and employees and ensure safety and grievance redressal.
  • Liaise with Admin/Facility teams for upkeep of the premises.
  • Maintaining updated hostel records on a monthly basis

Exit Formalities:

  • Conduct exit interviews and ensure completion of clearance formalities
  • Monthly, quarterly and yearly exit analysis and analyze exit trends and reasons for exits

HR Analytics and Data Management:

  • Maintain accurate employee data, trackers, and HR dashboards on a monthly basis
  • Generate monthly/quarterly MIS reports for management review
  • Analyze HR metrics: hiring, attrition, absenteeism, medical insurance, employee demographics, etc.
  • Support during audits (NABH) with required documentation and compliance

Other Functions:

  • Overseeing the Additions / Deletions / Change in name details for the Group Medical Insurance Policy on a monthly basis and sending the same to the brokers on the 05th of every month
  • Ensuring the permanent ID card is issued to the confirmed employee and to all Consultants in time
  • Sharing ideas and plans for improvement in HR operations, processes and systems
  • Preparation of process flow-charts, spread sheets, policies, work instructions, organograms and analysis reports as per requirement
  • Maintaining and updating SOPs and work instructions with approval from HOD from time to time

Any other work/responsibility assigned by the HOD / Management in the course of business / work whether within the same unit/dept or any other unit / dept from time to time
