Manager – HR

QUALIFICATION:

  • MBA – HR / PGDHRM / MPM
  • DLL & LW will be an added advantage

EXPERIENCE:

  • 8 – 10 years
  • Hospital experience preferred

JOB RESPONSIBILITIES:

HR Operations & Employee Lifecycle Management

  • Manage day-to-day HR operations and ensure smooth execution of HR processes across the hospital.
  • Oversee employee lifecycle activities including recruitment, joining, onboarding, confirmation, transfers, promotions, separation and exit formalities.
  • Ensure timely and accurate maintenance of employee records and HR-related documentation.
  • Coordinate with various departments to address employee-related requirements and ensure timely resolution of HR matters.
  • Monitor HR processes and identify opportunities for improving efficiency and service delivery.
  • Ensure effective implementation of HR policies, procedures and standard operating processes.

Manpower Planning & Talent Acquisition

  • Coordinate with HODs and department heads to assess manpower requirements based on operational needs, sanctioned strength, departmental workload, automation involved, hospital occupancy and service requirements.
  • Monitor vacancies and recruitment requirements and ensure timely closure of positions in coordination with the recruitment team.
  • Support manpower planning and deployment initiatives to ensure optimum utilisation of available manpower.
  • Engaging apprentices based on allocated quota as per Board of Apprenticeship Training
  • Monitor recruitment status, turnaround time and other recruitment-related metrics.
  • Coordinate with recruitment agencies, educational institutions and other external recruitment partners as required.
  • Support effective onboarding and induction of new employees.

Performance Management

  • Coordinate and monitor the implementation of the performance management process across departments.
  • Ensure timely completion of performance reviews, appraisals and related HR processes.
  • Ensure Privileging and Competency Mapping is done for all nursing and para-clinical staff on a yearly basis as per NABH guidelines
  • Support HODs and managers in addressing performance-related concerns and developing appropriate improvement plans.
  • Monitor performance management timelines and compliance and provide periodic reports to HR leadership team.
  • Assist in developing and monitoring departmental KRAs/KPIs in alignment with organisational objectives.

Learning & Development

  • Coordinate with department heads and the L&D team to identify training and development requirements.
  • Support implementation of the annual training and development plan.
  • Monitor training participation, completion and effectiveness.
  • Coordinate induction and orientation programmes for new employees.
  • Support capability-building and employee development initiatives across the hospital.
  • Maintain appropriate training and development records and reports.

Employee Engagement & Culture

  • Support implementation of employee engagement initiatives and activities across the organisation.
  • Coordinate employee communication and engagement programmes in consultation with HR leadership.
  • Identify employee concerns and feedback through appropriate channels and support suitable interventions.
  • Promote a positive, collaborative and employee-friendly work environment.
  • Support initiatives aimed at improving employee experience, retention and organisational culture.

Labour Law & Statutory Compliance

  • Ensure compliance with applicable labour laws, statutory requirements and organisational policies.
  • Coordinate with relevant internal teams and external agencies for statutory compliance requirements.
  • Keep track of changes in applicable labour laws and support implementation of necessary changes in HR processes.
  • Assist during statutory inspections, audits and other regulatory requirements as applicable.

HRMS, MIS & HR Analytics

  • Ensure effective utilisation and implementation of the HRMS for various HR processes.
  • Monitor accuracy and completeness of employee data and HR records in the HRMS.
  • Generate and analyse HR reports, MIS and dashboards relating to manpower, recruitment, attrition, absenteeism, separation, attendance, employee costs and other HR metrics.
  • Track HR KPIs and provide periodic reports and insights to HR leadership.
  • Support digitalisation and continuous improvement of HR processes through effective use of HR technology.
  • Assist in developing data-driven reports to support management decision-making.

HR Policies & Process Improvement

  • Assist in development, review and implementation of HR policies, procedures and SOPs.
  • Ensure effective communication and implementation of HR policies across departments.
  • Review existing HR processes and identify opportunities for improvement and standardisation.
  • Support HR process improvement and automation initiatives.
  • Ensure HR practices are aligned with organisational requirements, applicable regulations and hospital standards.

NABH, Audits & Quality

  • Ensure compliance with HR-related requirements under NABH accreditation standards.
  • Coordinate with departments for preparation and submission of HR-related documentation during audits and accreditation activities.
  • Participate in internal and external audits and ensure timely closure of HR-related observations and action points.
  • Maintain appropriate HR records and documentation required for quality and accreditation purposes.
  • Promote adherence to organisational policies, quality standards and patient-centric service requirements.

Stakeholder Management

  • Act as a point of contact for HODs and department heads for day-to-day HR-related matters.
  • Build effective working relationships with employees, HODs, managers and other internal stakeholders.
  • Provide HR guidance to managers and supervisors on employee-related matters within the scope of HR policies and applicable regulations.
  • Escalate critical or sensitive matters to the Head – HR/HOD for appropriate decision-making.

General Responsibilities

  • Maintain confidentiality of employee, HR and organisational information.
  • Ensure professional, ethical and fair handling of employee-related matters.
  • Ensure timely response to HR-related queries and correspondence.
  • Maintain proper documentation and records related to HR activities.
  • Participate in internal audits, inspections, accreditation activities and other organisational initiatives as required.
  • Follow and implement instructions given by the HOD/Management from time to time.

Any other work/responsibility assigned by the HOD / Management in the course of business / work whether within the same unit/dept or any other unit / dept from time to time
